Inviting Collaborators

To write side-by-side with colleagues in a SciFlow document, these colleagues need to be part of that document first. Therefore they must be added as co-authors to your document.

To add someone to a document, access the invitation menu by clicking the Invite Authors button on top of the screen. There you can invite colleagues via mail or by sharing an invite link. Most importantly, make sure that you set the invitee role to Co-Author so that your co-workers have permission to edit the contents of the document.

Collaborative Writing

Once your colleagues are part of the authorship of the same document, you can start writing. There are no restrictions when simultaneously working on a project. The functions of SciFlow remain the same as when working alone. Only that changes made by other parties update and emerge in real-time.
There are, however, new interface elements that reflect when and where a co-author was lastly active. Within the running text, an icon labeled with a set of initials based on one's user name/mail address displays, where the respective author is currently active. Hovering over this icon provides information when this person was last seen.

Within the document outline, colored dots signals in which chapter a co-worker is active at that moment. Hovering above this dot also provides the same information as above.

Different indicative icons for the same participant share a color scheme, to keep them distinct from other authors.

Collaborative Resources

The effectiveness of collaboration largely depends on successful communication. The advantage of cooperating in real-time, therefore, handily complements other communicative means like video or phone calls. In addition to that, other SciFlow features also aim to support the writing process in a team.

  • Comments: Marking text parts allows you to leave a comment by selecting the appearing comment button. Each comment can be further discussed through the Comments menu in the sidebar.

  • Citations: Each reference used in a document appears in a designated column within the Reference Library found in the sidebar. Any co-author may reuse these references, regardless of whether they are part of their own reference library—but only in that document.

  • Versions: The history function, accessed through the History button on the top right corner of the screen, allows you to archive the current state of a document as a version. These versions can be reviewed by other collaborators and used to retrace the project's growth and reconsider older iterations of the project.
